Position Summary

 

Primary activities will include general administrative and clerical support to the Managing Director, and coordination and performance of multiple tasks within the Wrexham Site.  A high degree of professionalism and discretion are expected, as well as strong organizational skills, creativity, and the ability to anticipate and address needs of the Site Head. The successful candidate will be detail oriented and will work with and coordinate a wide range of people and job levels and should have strong communication and collaboration skills.

 

Specific Responsibilities:

Responsible for assisting in development of content and materials for site communication requirements

  • Support in creation of emails blasts and PowerPoint presentations to promote site activities.
  • preparing minutes of meetings and dissemination of the same in a timely manner

Support for site-wide programs and events

  • planning
  • work with CSR/BPN groups to support events where possible
  • reservation of venues
  • monitor and tracking of the Wrexham Site Objectives

Provide support and assistance in the processing of all travel-related requirements

  • documentations, visa application, coordination with Travel Agents
  • travel bookings for the site
  • Provide secretarial services whenever called for
  • Reservation of meeting rooms (including shared space in Wrexham)
  • Ensuring the all required logistics are in place prior to the scheduled meeting
  • Disseminating meeting agenda to the attendees
  • Typing and distributing minutes from site related meetings in a timely manner (Management, CSR/Employee Forum, BPN etc.)
  • Manage post distribution for the office
  • Support in completing the Accounts Payable process for site activities

RAMG Process requirements

  • Facilitate the organization of the EMEA OPCO meeting, including rooms bookings and other requirements
  • Booking of local taxi’s for visitors to Wrexham
  • Payment & expenses for ad hoc site requirements
  • Social bookings for work related activities

 

Experience

  • 5 or more years’ administrative experience
  • Works well under pressure in a fast-paced environment and maintains the strict confidentiality of all interactions and communications
  • Demonstrate excellent PC skills with proficiency in the use of Microsoft Office Suite (e.g., Outlook, Word, PowerPoint, Excel, and Access)
  • Exhibit superior phone manner, proofreading and organizational skills
  • Evidence excellent verbal and written communication skills
  • Evidence excellent planning skills and attention to detail
  • Demonstrate ability to interact with executive-level domestic and international industry contacts
  • Handle multiple tasks making appropriate judgments on priorities
  • Able to learn and apply new information, skills and procedures
